What is Workflow Central?

Workflow Central is the centralized hub of your platform's operational logic, billing flow, and form availability. It serves as the foundational toolset for configuring Programs, Services, and Forms, giving your organization the flexibility to model your workflows the way you operate.

This isn’t just a place to view information—it’s the command center where you define the logic that governs how your data flows, how your team interacts with clients, and how your reports and billing systems are structured.


Key Concepts

Programs

A Program is your broadest organizational unit. It’s the highest level of categorization and typically represents a state-defined or organization-wide offering, such as:

Programs group together related Services that reflect different stages, billing codes, or workflows within that program.

Services

A Service is a distinct operational or billing segment within a Program. Services are usually aligned with different billing codes, timeframes, or support types.

Example for Supported Employment:

  • Intake
  • Situational Assessment
  • Job Development
  • Placement and Training

You can set these in preferred order, even though real-world workflows might vary.

Each Service includes additional configuration options, such as:

  • Billing code
  • Billing logic (hourly, milestone, or value-based)
  • Ordering & prerequisites
  • End-of-month report customization

Forms & Assignments

Form Assignment Logic

Forms (including logs/support logs) can be assigned at three levels:

  • Global – Assigned to every Program and Service
  • Program – Assigned to all Services within the Program
  • Service – Assigned only to that specific Service

This provides granular control over form availability across your workflows.

Form Updating

Form logic in Workflow Central is version-aware:

  • Changes to a form do not automatically apply retroactively to clients.
  • However, you can opt to propagate those updates using options available in Workflow Central.

End-of-Month Reporting & Billing

Workflow Central lets you define what forms are tied to:

  • End-of-month reports
  • Billing logic
  • Log tracking (support logs)

You also configure which fields are used in reporting and what forms are required at different operational steps.


Centralized Control

From this single page, you can:

  • Create & manage Programs and Services
  • Assign forms at global/program/service level
  • Define ordering logic
  • Mark forms as required or optional
  • Control form template inheritance and updates
  • Configure billing behavior
  • Review existing configuration using in-app info tags
